The handful of things that can trip people up, and how to fix them.

Most issues with FolioPDF come down to one of a few things. Try these first.

I can’t see the FolioPDF card on a deal

The FolioPDF card lives in the right sidebar of a record. If you don’t see it on a deal:

  1. Open a deal in HubSpot
  2. Click Customize the right sidebar at the top of the sidebar
  3. Find FolioPDF in the list of cards and turn it on
  4. Save

If FolioPDF isn’t in that list at all, your HubSpot admin probably hasn’t installed it yet. Send them to our install guide.

My PDF doesn’t have my logo or brand color

You probably haven’t set your branding yet. Open the FolioPDF settings page (the link is in the FolioPDF card) and add your logo and brand color. After that, every new PDF will have them. See Branding.

PDFs you made before you set your branding will still look unbranded. Just make them again.

I clicked Generate but nothing happened

Wait a few seconds. Making a PDF usually takes a few seconds, and you’ll see a small spinner.

If it’s been more than 30 seconds, refresh the deal record and try again. If it still doesn’t work, contact support and tell us which deal and which template you used.

”Plan limit reached”

Your account has hit the monthly PDF cap for your tier. The card shows the canonical upgrade prompt with the relevant CTAs:

  • Free portals can either upgrade to Starter (500/month) or opt into per-PDF overage at $0.50 per document for the rest of the cycle.
  • Starter portals can upgrade to Pro (unlimited fair-use).
  • The cycle resets on the date shown in the card; usage starts at zero on that anniversary.

”Schema refresh required”

If your portal hasn’t been actively used by FolioPDF for more than 30 days, our cached copy of your CRM property list is treated as stale and the render path refuses to generate a PDF until we re-sync. Open the FolioPDF Settings tab (the link is in the FolioPDF card on any deal). Reloading the page triggers a fresh sync; once that completes you can generate again.

”Partner code couldn’t be redeemed”

If you entered a partner code on the Settings page and saw a warning:

  • Code unknown — the code doesn’t match any active Solution Partner. Double-check the spelling.
  • Window closed — partner codes can only be redeemed within 30 days of installing FolioPDF.
  • Already redeemed — your portal already has a partner credit; only one per portal.
  • Rate-limited — too many redeem attempts in a short window. Wait and try again.

My workflow action runs but no PDF is generated

The Custom Workflow Action requires a template selection in the workflow editor. If you saved the action without picking a template from the dropdown, every workflow run will fail. Open the workflow, click the FolioPDF action, pick a template, and save.

If the dropdown is empty when you open it, no template exists yet for the workflow’s enrolled object type.

”Invalid logo URL” or other validation errors on save

The Settings page validates a few things server-side:

  • Logo URL must be a public https:// URL that returns an image under 2 MB. We probe it with a HEAD request before saving.
  • Folder path must start with /.
  • Brand color must be a 6-digit hex code with or without a leading #.
  • Theme must be one of the available themes shown in the dropdown.

If you see one of these errors, check the field and try again.

The PDF doesn’t show the right deal information

FolioPDF reads whatever is in HubSpot at the moment you click Generate. If a field is empty in HubSpot, it’ll be empty in the PDF. Open the deal, fill in the missing information, and make the PDF again.

I can’t find a PDF I made

Every PDF lands in two places automatically:

  1. As a note on the record’s activity timeline. Scroll the timeline on the deal until you see the FolioPDF note.
  2. In the HubSpot Files library, named after the deal and template.

If you still can’t find it, the FolioPDF card on the record also lists every PDF you’ve made for that record, with a link.
